Publicity Chair Responsibilities
- Puts together the preliminary CFP (ready by middle of
February) to be distributed at SIGCSE and at CCSCNE.
Send an ASCII copy to Co-Chair2 to include on the Web and to Bill
Myers (CCSC Treasurer).
- Specify whether paper should be anonymous or not
- Specify what format is required for the paper - put all the format in ONE place - less room for confusion
- Specify page limit!
- Conference chair should make copies and mail the cfp to the list that is
maintained by the consortium.
Conference chair requests the mailing labels from the consortium
secretary.
(this should be done immediately after the conference before faculty
leave for the summer).
- Final CFP done by Co-Chair1 by end of August.
Co-Chair2 incorporates it on the web page.
- May want to print "Third Class" on both CFPs is conference chair wants to mail them third class.
- Preliminary program completed by Co-Chair1 within the next two weeks of
the January board meeting (around third week of
January) Co-Chair2 is responsible for the web page of the
conference
- Receives all submitted papers (Deadline around November
6)
- Sends confirmation letters with paper number to authors as papers
are received with approximate notification date as well as
date for final copy.
- Keeps track of all papers and numbers associated with them
- Compile a list of reviewers.
(This should start early summer. You need at least 50 reviewers.
Previous year's chair should provide a list of the year's reviewers
so that a request for reviewing can be sent to the list by current
chair).
Reviewers should be told when to expect papers (usually second week of November) and they should also be told
when reviews are due (usually
around December 22).
They need to know these deadlines so they can plan accordingly.
- Send papers to reviewers for review immediately after the deadline.
- There will be two pages of reviews: one to be sent to the author and
one for the committee and will not be sent to the author.
Do not staple the two pages of reviews. It makes it easier to
copy.
A copy of the reviews should be kept for our records.
- Receive all reviewers' comments (by December
22)
Make copies of all of them and keep them for the record.
Keep the comment page of the review.
Mail the author page of the review to the author with the following:
- deadlines and format for submission of the final copy for the
program
- copyright release forms for each participant
- registration forms for participants
- A/V forms (By January 11)
- Deadline for final paper is by February 6.
compiles a list of all
authors' names, addreses and email (immediately
after decision is made)
compiles a list of email addresses of authors (immediately after the
decision is made)
- Selects best two papers.
- Papers and panels chairs meet the day before the January program
committee meeting to put together the program. The program will be
presented at the January meeting of the regional board (around the
4th of January).
The program (handwritten is ok) should be given to the publicity chair
during the January meeting so that he/she can start putting together the
final program.
Another copy should be given to the editor.
- Presents the best paper award at the luncheon.
